3 Commonly Forgotten Aspects of Venue Hire

Imagine leaving your house for a business presentation only to realise that you forgot your flash drive at home. Forgetting important stuff can be scary and disorienting, especially when hiring an event space. It usually happens if you do not hold regular meetings with your team to go over the checklist. Since part of an event's success depends on the timely delivery of inputs, preparation is of utmost importance. This article highlights some of the most commonly ignored aspects of venue hire.  

Parking Layout

Venues with parking spaces are prime and cost a lot, which might explain why most facilities are usually booked well in advance. However, just because a facility has a parking space does not mean that it is the right location for your event. It is the reason why it is critical to examine your parking space design and layout. For instance, if you expect many guests and are sure that a majority will come by private means, you need a parking space with multiple entrances and exits. It ensures the smooth arrival and departure of cars regardless of the number of people attending an event.

However, if you hire a venue whose parking space has a single entrance that doubles up as the exit, you might experience chaos even before an event starts. Therefore, when hiring a venue for an event, do not forget to examine the parking space layout to anticipate any issues. 

Weather Forecast

Why would an events planner need a weather forecasting smartphone application or spend time watching a weather channel? If you are planning an outdoor event, you need to be conscious of the weather conditions for that particular day. While weather forecast tools cannot predict future atmospheric conditions with 100% precision, the information they offer can help you plan.

For example, if a weather channel reveals that it will rain on the day of an event, you might need to hire a venue with concrete flooring. You can also place mud scrapers at the entrances so that guests do not enter a location with muddy shoes. Therefore, always ensure that you are up to date with the weather forecast before hiring a venue.   

Contingency Toilets

When hiring an event venue, you cannot skimp on sanitary facilities. You need enough portable restrooms for your guests since it makes a significant difference in comfort levels. Unfortunately, most planners hire the exact number of portable restrooms. If the toilets get overwhelmed, you might experience a big sanitary issue, leading to hefty fines by the local council. Therefore, always hires contingency portable toilets. It is better to have more portable restrooms.
